ASSOCIATION ON SENIOR CITIZENS, HYDERABAD: DUTIES of Office bearers
PRESIDENT
1. Responsible for functioning of the Association with dignity.
2. Supervises the work of other office bearers and gives advice where necessary.
3. Presides over all the meetings.
4. Will have casting vote in case of a Tie.
5. Maintains public relations.
6. Corresponds on all important matters.
7. Signs along with Secretary all important Documents like Agreements, Sale deeds, MOU’s, etc.
8. Takes important decisions in emergencies subject to ratification by Executive Committee or General Body.
9. Exercises Financial Powers within the limits assigned to him.
10. Delegates a part of his powers to other at his discretion.
VICE PRESIDENT
1. Presides over the meetings in the absence of President or on his advice
2. Exercises all powers of President under specific advice from the president or when he is absent.
3. Assists President in his day to day work as per his advice.
SECRETARY
1. Chief executive of the Association.
2. Works as per policies lay down by the General Body.
3. Co-ordinates with the work of other office bearers and sub-committees.
4. Arranges and convenes the General Body and Executive Committee meetings and records the minutes of such meetings in a separate register. He also informs the concerned members about meetings in due time.
5. Maintain all statutory records including membership and minutes register and keep safe custody of them.
6. Prepares receipts and payments statement with the help of Treasurer every month and presents it to the Executive Committee.
7. Prepares annual report and present it in the Annual General Body Meeting for approval.
8. Corresponds with members and authorities on routine matters and other matters on the advice of the President.
9. Signs along with the President on important documents like Agreements, Sale deeds, MOU’s etc.
10. Arrange programmes, picnics, etc with the help of concerned sub-committees as they exist.
11. Executes all works as per the advice of general body, Executive committee and the president.
12. Takes the help of joint secretary for his work.
JOINT SECRETARY
1. Assists the secretary in all his work.
2. Does any other work assigned to him by the general body, executive committee or the President
TREASURAR
1. Responsible for the funds of the association.
2. Spends money as per policies laid down by the general body, Executive committee and on the advice of the President.
3. Maintains and keep safe custody of all statutory records regarding funds including cash book, ledgers, vouchers, etc.
4. Prepares monthly receipts and payment statements and give it to the secretary.
5. Prepares annual accounts of the previous year and present them at AGM for approving.
6. Prepares annual budget for next year and present it to general body at AGM for approval.
7. Get the accounts Audited by a person approved by general body or Executive committee.
8. Opens Bank accounts in approved banks and operates them with other nominated persons approved by Executive committee.
9. Gets all vouchers countersigned by Secretary/President.
EXECUTIVE COMMITTEE MEMBERS
1. They actively associate themselves with the functioning of the association.
2. They share the work of the secretary and attend regularly all the meetings arranged by the Association.
3. They offer their views, suggestions and ideas on all points taken up in EC meetings and thus help in arriving at suitable decisions.
SUB-COMMITTES
1. Chairpersons who are appointed by the executive committee for different sub-committees will be responsible for conducting various activities assigned.
a) Day care centre committee.
b) Cultural Programme committee.
c) Public Relations committee.
d) Library and reading room committee.
e) Community service committee
f) Greetings committee.
The chairpersons are ex-officio members of the Executive committee.
CHAIRMAN
Chairman of the Association oversees the working of the Association and offers his guidance for the smooth functioning of the association.
